The Missouri Department of Agriculture, Weights, Measures and Consumer Protection Division has a full-time unclassified division secretary position located in Jefferson City, Missouri.
An employee in this position will perform administrative and secretarial duties requiring a high degree of independent judgment and discretion. Work may include organizing, researching and completing special reports and assignments. Duties may include participating in departmental, division and program activities, requiring extensive knowledge of organizational policies and procedures. Direction is received in terms of objectives and timeframes and supervision is received through personal conferences and the review of completed work and reports by Division Director. This position will have supervisory responsibilities.
The employee may act as a representative in interacting with the public, Director's Office, Governor's Office, Legislators, special interest groups and other state and federal agencies by responding to inquiries and complaints, explaining policies, procedures, and regulations, resolving problems and receiving and disseminating directives. The employee will assist the Division Director in coordinating specified program activities inside and outside the agency. This position will perform administrative duties including scheduling and planning meetings and conference calls, preparing agendas, documents, presentations, travel and conference arrangements and assist with a variety of special projects. This position will be responsible for assisting each division program during their rulemaking process. This position will review incoming correspondence, screen calls and assist visitors. This position will maintain confidentiality and integrity of all department information.
This position may require independent problem solving and decision making; a thorough knowledge of modern office practices, procedures, systems and equipment, secretarial practices and procedures; knowledge of bookkeeping methods and principles; skill in exercising sound judgment and organizing work; ability to maintain current knowledge of issues, problems, situations and activities of special interest to the division; ability to apply, interpret and make responsible decisions in accordance with established policies and procedures; ability to learn, apply and explain agency rules, regulations, policies and procedures; ability to maintain administrative, fiscal and general records; ability to prepare and substantiate reports; ability to prioritize, plan and carry out administrative and office management details; ability to compose correspondence; ability to understand and follow verbal and written instructions, read and comprehend written materials; ability to establish and maintain effective working relationships and provide a high level of customer service when interacting with other employees, state officials and the general public and to receive visitors in a professional manner. There will be some driving to other state/federal offices and infrequent overnight travel. This position may be responsible for other duties as assigned.
Five years of clerical experience including three years in advanced clerical or administrative experience comparable to Senior Office Support Assistant under the UCP system, or as an Administrative Assistant, Legal Secretary or Office Manager which must have involved composing correspondence, maintaining calendars, tracking deadlines, facilitating meetings, accounting, etc. (Training from a vocational or business school in office management, secretarial science or closely related field or coursework from an accredited college or university may be substituted for the stated experience.)
